The freelance tools market is overwhelming. There are hundreds of apps competing for your attention and your subscription budget, and most of them are not worth either. After three years of freelancing and a painful audit that revealed I was paying for 23 different SaaS subscriptions (many of which I'd forgotten about), I've narrowed my toolkit to the essentials.

Invoicing and Payments

Wave (Free) is the best free invoicing tool available. It handles recurring invoices, payment reminders, and basic accounting without charging a monthly fee. The interface is clean and professional-looking, which matters when you're sending documents to clients. The only limitation is that payment processing fees apply if clients pay online, but the tool itself costs nothing.

HoneyBook ($19/month) is worth considering once you're billing consistently above $3,000/month. It combines invoicing, contracts, client communication, and project management into one platform, which reduces the number of separate tools you need. The automation features — automatic payment reminders, onboarding sequences, follow-up emails — save several hours per month.

Contracts

Bonsai ($24/month) offers the best freelance contract templates available, with legally reviewed language for most common freelance scenarios. The e-signature functionality is included, which eliminates the need for a separate DocuSign subscription. For freelancers who regularly deal with contracts, this is one of the most defensible paid subscriptions.

Project Management

Client Communication

Loom (Free tier available) is underused by freelancers and disproportionately effective. Sending a short screen-recording video instead of a long email dramatically improves client comprehension and reduces revision rounds. The Audit You Should Do Right Now

Before adding any new tools, audit what you're currently paying for. Log into your bank or credit card statement and identify every recurring subscription.
